Your PBX keeps recordings for days. Archive them for years.

Call recording archiving is the unglamorous half of the job: a phone system is built to make calls, not to hold audio. Callnsight moves each recording off the PBX as it syncs, into storage built to keep it — ours, or a bucket you own — where how long it stays is a policy you write rather than whatever the disk allows.

What archiving changes

Off the PBX, before the disk decides
Out of the box, Vodia keeps call records for seven days, and the recordings sit on the same disk that runs your calls. Callnsight pulls each one off as it arrives, so the phone system stays a phone system and the archive outlives it.
Retention is a policy, not an accident
Thirty days on the Trial, a year on Starter, two on Growth, three on Business, and longer on negotiated Enterprise terms — that is the ceiling. Inside it you set the window per account, and it prunes what it promises to prune.
We never delete anything from your storage
Point the archive at your own S3 bucket, SFTP or FTP server and the audio is yours in the plainest sense: pruning removes rows from our database, never a byte from your storage. Your plan sets how long the app remembers a call, not how long you keep the recording.
History that can come back
Because aged-out audio never left your bucket, moving up a plan lets it be re-indexed — and calls the app had forgotten come back into search. Few archives run in reverse; this one does.

How the archive is kept

    Choose where the audio lives

    Connect your Vodia or Broadvoice system and pick the destination: Callnsight’s storage, or your own S3 bucket, SFTP or FTP server — every plan can do either. Provider credentials are encrypted before they touch the database.

  2. As calls finish

    Recordings are moved and indexed

    Each recording is copied off the PBX into that storage and indexed against the call it belongs to, so it is searchable and ready to play the moment it lands — and no longer the phone system’s problem.

  3. On your policy

    The app forgets; your bucket does not

    When a call passes your retention window its history is pruned — the record, its metadata, and the audio if that audio sits on Callnsight’s storage. On storage you own, the file stays exactly where it is.

Questions

How long can I archive call recordings for?
Up to the ceiling your plan carries: thirty days on the Trial, a year on Starter, two years on Growth, three on Business, and longer on negotiated Enterprise terms. Retention is a per-account policy inside that ceiling, so keeping less than the plan allows is equally your choice.
What happens when a recording ages out?
Its call history is pruned from Callnsight — the record, the metadata, and the audio if the audio is on our storage. If it is on your own S3, SFTP or FTP, nothing there is touched: we never delete anything from your storage. Your plan sets how long the app remembers a call, not how long you keep it.
Can I bring older calls back after upgrading?
On storage you own, yes. The aged-out audio never left your bucket, so moving up a plan lets that history be re-indexed and returned to search. Tell us when you upgrade and we will run it against what is there.
Why not just leave the recordings on the phone system?
Because a PBX is sized to make calls, not to hold years of audio. Vodia keeps call records for seven days out of the box, and recordings accumulate on the disk that runs the calls until someone clears them — a deletion policy nobody wrote down.
